2. What this notice covers
This notice applies to candidates and prospective candidates, employer and client contacts, website users, and people who contact us.
3. Personal information we collect
Depending on how you interact with us, we may collect:
- Candidate information: name, contact details, location, current role, role type, experience, desired role, salary expectations, work preference, right-to-work status, LinkedIn URL, CV, notes, history, skills, qualifications, availability and communications.
- Recruitment-process information: roles discussed, interview arrangements and feedback, offers, placement information and other information needed to assess or progress an application.
- Employer and client information: business contact details, organisation, hiring requirements, enquiry details, communications, commercial terms and placement or invoice records.
- Website and contact information: name, email address, reason for contact, messages and correspondence.
- Technical and security information: request and session information, timestamps, authentication records, rate-limit identifiers, audit information and security logs.
Required form fields are needed to process the relevant request. If you do not provide them, we may be unable to provide that part of the service. Joining the general talent network does not require special-category or criminal-offence information.
4. Where information comes from
We mainly receive information directly from you when you submit a form or CV, contact us or communicate about a vacancy. We may also receive recruitment-process information from an employer involved in a role for which you are being considered.
If we source a prospective candidate from a job board, professional network or other third-party or public source, we will record the source and provide required privacy information within a reasonable period and no later than one month, or sooner if we contact you or disclose the information. Public visibility is not blanket permission for unrelated marketing.
5. Why we use information and our lawful bases
Respond to enquiries and operate our service
Legitimate interests in responding to people and operating a recruitment business.
Create candidate records, assess suitability and match opportunities
Legitimate interests in providing recruitment services requested or reasonably expected by candidates and employers, subject to individual rights.
Share an identifiable profile or CV with a named employer for a role
Legitimate interests in making a requested recruitment introduction. As an additional safeguard, we normally identify the employer and role and obtain affirmative agreement before disclosure.
Manage employer contracts and placements
Contract, and legitimate interests where information concerns a business contact rather than the contracting entity.
Maintain accounting, tax and legally required records
Legal obligation.
Maintain recruitment-agency compliance records
Legal obligation where recruitment-sector law requires a record; otherwise legitimate interests in compliance.
Protect accounts, systems and services
Legitimate interests in security, integrity and prevention of misuse or fraud.
Respond to regulators, courts and lawful requests
Legal obligation or legitimate interests in establishing, exercising or defending legal rights.
Where we rely on legitimate interests, we consider the purpose, necessity and whether your interests, rights or freedoms override our interests. Contact us for more information. We use talent-network information for recruitment services, not as permission for unrelated promotional marketing. Separate direct marketing will use an appropriate lawful basis and comply with electronic-marketing rules.
6. Religion, health and other sensitive information
Information revealing religion or belief, health, racial or ethnic origin, sexual orientation and certain other matters is special-category information. Beckron does not require candidates to state or prove religion, create religion-based eligibility or matching fields, or infer religion from a name, image, CV or other information. Our service is open to qualified candidates regardless of religion or belief.
Do not include sensitive information unless genuinely necessary. For health information relating to a reasonable adjustment or another sensitive matter, contact us first where practicable. We only intentionally use special-category information after identifying and documenting an Article 6 basis, an Article 9 condition and any additional safeguards required by law.
We do not ask for criminal-conviction or offence information when someone joins the general talent network. If a role lawfully requires it, we will explain the requirement and process it only where permitted with appropriate safeguards.
7. How and when we share information
We do not sell candidate personal information. We may share information with:
- Named prospective employers for a particular opportunity after the candidate has been informed of the employer and role and affirmatively agreed to disclosure.
- Service providers supporting our website, database, authentication, private file storage, hosting and security, acting under appropriate data-protection arrangements.
- Professional advisers such as accountants, lawyers and insurers where reasonably necessary.
- Regulators, courts, law-enforcement bodies or authorities where required or permitted by law.
We limit disclosure to information reasonably necessary for the relevant purpose.
8. International transfers
Some providers or their sub-processors may process information outside the United Kingdom. Where a restricted transfer occurs, we use an applicable UK mechanism, such as UK adequacy regulations, the International Data Transfer Agreement or the UK Addendum to approved standard contractual clauses. Contact us for more information or a copy of relevant safeguards, subject to lawful redactions.
9. How long we keep information
Our current working retention periods are:
- Talent-network profile and CV: reviewed at least annually and normally deleted or anonymised 12 months after the last meaningful recruitment interaction or work-finding service, unless interest is renewed or a documented reason justifies longer retention.
- Vacancy assessment, interview and feedback: normally reviewed for deletion or minimisation six months after the process ends, while minimum compliance records are kept for any applicable statutory period.
- Recruitment-agency compliance records: at least 12 months where the Conduct of Employment Agencies and Employment Businesses Regulations 2003 require this.
- Employer enquiries: normally up to 24 months after the last meaningful contact while there remains a reasonable prospect of recruitment work; contractual and accounting records follow applicable periods.
- General contact messages: normally 12 months after closure.
- Placement, contract, accounting and tax records: the applicable legal, accounting or claims period, potentially six years or longer where required.
- Security and authentication information: the period configured for the relevant security purpose and provider.
We may keep information longer for a legal hold, dispute, investigation or obligation. When no longer needed, we delete or irreversibly anonymise it where appropriate.
10. Your data-protection rights
Depending on the circumstances and lawful basis, you may have rights of access, correction, erasure, restriction, objection and data portability. Where processing is based on consent, you may withdraw it without affecting earlier lawful processing. Contact info@beckronpartners.com to exercise a right. We may verify identity proportionately, and rights can be subject to legal conditions and exemptions.
11. Your right to object
Where we rely on legitimate interests, you may object on grounds relating to your situation. We will stop the relevant processing unless we demonstrate compelling legitimate grounds overriding your interests, rights and freedoms, or the processing is needed for legal claims. Email us to object.
12. Security
Safeguards include restricted administrative access, private CV storage, row-level database controls, time-limited signed links, authentication, server-side validation and rate limiting. No online service can guarantee absolute security.
13. Automated decision-making
We do not currently make solely automated candidate decisions producing legal or similarly significant effects. If this changes, we will update this notice and provide required information first.
14. Cookies and similar technologies
Our current service uses technologies necessary to operate and secure the website, including authentication and abuse prevention. We do not currently use non-essential advertising or behavioural analytics. If this changes, we will update our information and obtain consent where required before use.
15. Data-protection complaints
Email info@beckronpartners.com and identify your concern as a data-protection complaint. We will acknowledge it promptly, investigate fairly and without undue delay, keep you informed where appropriate and explain the outcome.
You may also complain to the Information Commissioner's Office: Wycliffe House, Water Lane, Wilmslow, Cheshire, SK9 5AF; telephone 0303 123 1113; website ico.org.uk.
16. Changes to this notice
We may update this notice for changes to our services, suppliers, legal obligations or practices. We will publish the updated version and date here and provide additional notice where a change materially affects how we use personal information.
